Fentons is a leading Managed IT Service Provider based in West Sussex. We’re looking for a proactive and organised Administrative Specialist to join our team, working alongside our current Admin Specialist (who will soon be going on maternity leave). This role is essential to the smooth running of our operations and offers long-term potential beyond maternity cover.
🔧 What You’ll Do
- Support the smooth running of daily office operations and service delivery
- Ensure timely renewal of client service contracts
- Assist with finance-related tasks, including bookkeeping, invoicing, and aged debt follow-ups
- Respond to client enquiries regarding billing and service contracts
- Monitor and manage the Orders and Client Admin inboxes, ensuring prompt responses and raising service desk tickets when needed
- Place client orders and process billing accurately
- Contribute to marketing activities and assist with social media content
- Organise and coordinate team social events
- Prepare reports for management and clients using Excel
- Conduct audits to ensure accuracy, completeness, and compliance across systems and processes
- Liaise with the Service Desk team to maintain accurate administrative records
- Support overflow phone calls and create service desk tickets when required
🔍 What We’re Looking For
- 3+ years’ experience in office administration and customer service
- Experience in a contracts or finance environment (required)
- Bookkeeping and invoicing experience (required)
- Excellent communication and organisational skills
- Proficiency in Microsoft Outlook, Word, and Excel
- Strong attention to detail and ability to handle sensitive information with discretion
- Self-motivated and able to work independently and collaboratively
- Positive, professional attitude with a willingness to learn
